Check In Using QR Codes
There are two ways to use the QR code scanning feature:
a traditional scanning device to scan the QR code
a camera app (with a tablet or phone, etc.) which will scan the QR code
Because the different devices have different capabilities, each method requires use of a different QR code type to be included in the email templates that are sent out to clients.
Using a Scanning Device
When using a traditional scanner, you'll need to use the tag %APPT_QR_CODE% in your email templates. This QR code holds only the appointment ID number. Once an email has been sent to a client with that QR code, a staff member can go to the Check In Only View to scan the client’s QR code directly from their email to update their appointment status to Checked In.
To enter the Check In Only View, go to Dashboard > Check In Screen. From here, make sure Appointment ID Search is selected (as this is the information the QR code holds) and then select Enter Check In Only View.
From the Check In Only View, put your cursor in the text field and hold the client’s email under the scanner. The information in the QR code will then populate the appointment ID into that field, and the client can continue to be checked in through the normal process.
Using the Camera App on an Internet-Enabled Device
The second way to check students in with a QR code is by using a tablet, phone, or other internet-enabled device with a camera app. For this method, you will use the tag %APPT_CHECKIN_QR_CODE% in your email templates. This QR code contains a url that you can open from the browser of that device that will allow you to check in that client.
First, log into the Backoffice of TimeTap on the device that you will be using to scan, and then open the camera app on that same device. When you’re ready to scan a code, hold the camera over the QR code, but do not take a photo. A banner notification will show that reads "Open 'TimeTap.com'“
Select the banner, and you will arrive on the check-in page of TimeTap (via the URL that is contained in the QR code). Scroll all the way to the bottom, and you will see the details of the appointment associated with the QR code.
Select the blue Check In button and the appointment status will be changed to Checked In.
