You can add additional reminder emails and text notifications for certain child accounts by using our Automated Messaging Triggers feature. This feature allows you to add additional messaging based on time before or after an appointment, status change, or creation of an appointment. If you don’t see this as an option on the child account you’re in, you may need to reach out to support to have this option “turned on” for that child account. In this documentation, we’ll go over:


Editing the Appointment Trigger Template

Before creating a new trigger, you need to create the message that you’ll apply to the trigger. You can do that by going to Messaging > Appointment Templates and locating the Appointment Triggers template category. When you find it, click View.

From the Template Category page, you’ll see all of the templates in this category, but you’ll likely only have one if you’re starting out. You can click Clone to create a new message.

From the Template Profile, you’ll give this template a name to help you remember which template to use when you create your trigger, then click Save. In this example, I’ll be creating an additional reminder that is sent 48 hours in advance, so when I create my trigger later on and if I had multiple triggers, “48 Hour Reminder” would be a helpful Template Name.

After this, you can click Edit at the top of the Template section to edit the address details, subject, and body of the template. Once you’ve completed editing the template, click Save.

Adding an Automated Messaging Trigger

When the template has been saved, click Messaging > Automated Messaging Triggers.

From the Automated Messaging Triggers page, click Add New Trigger.

You will be prompted to provide details for when this new message should be sent out. You are able to determine:

  1. Internal Description--Name of the trigger

  2. Add Event For--Appointment (one on one meeting), Group Meeting Session (multiple participant meeting), or Disclaimer Form (relating to our Forms feature)

  3. Location To Send For --Choose all or select locations

  4. Empower Associates To Send For-- Choose all or select Empower Associates

  5. Meetings To Send For--Choose all or select meeting types

  6. Trigger Based On--Time (amount of time before or after an appointment), Status Change (when an appointment changes status, like from Open to Confirmed), and Creation (of an appointment)

  7. If time-based, indicate the months, weeks, hours, days, and/or minutes out from an appointment this message would be sent

  8. If time-based, indicate whether before or after an appointment this message would be sent

  9. Choose the message that will send, whether to Participant or Empower Associate, Email or Text, and which Template to send for this trigger.

When you have completed each of these fields, click Save. If you’d like to edit or delete the trigger, you can return to this screen at any time to make changes.
