Emailing Customers through TimeTap

In this documentation, we'll go through how to send an email directly to a customer through the TimeTap interface. This is a great thing to do if it is a new customer who you just added to TimeTap and you want to send them a note to come book with you on your personalized scheduler.

From the Customers menu, select which of your customers you want to send an email out to by using the checkboxes to the left of their name and then click the button to "Email":

That will bring up the option to select which template you want to send out to the selected customers:

Tip

All of these templates are stored under Messaging > Marketing Templates. You can add more templates to your marketing templates list to choose from if you'd like to. Documentation on how to do that is available here: Creating Marketing Templates

You'll also see options to choose a location, staff, or service. These are all optional. If you don't have any merge tags set up in the template that you selected (explained in our Creating Marketing Templates documentation) then whatever you select in the Location, Staff, & Service & Class field won't matter anyway.

Once you've selected the template you want to use, click the "Select Template" button:

That will bring up a preview of the template you'll be sending out to the selected customers. You can read through it and make edits if you'd like before clicking "Send Email":

Tip on the % sign things

We use something called "Merge Tags" to send emails. A merge tag is anything you see wrapped in the % signs. Once you send the email out, we will merge any merge tags on your email template with the value set on the clients profile.

So, for instance, once you send the email from the screenshot above, TimeTap will read through the email, find any tags (like %CLIENT_FIRSTNAME% and merge it with whatever is the customer's first name as stored on their customer profile.

Now that you've sent the email out, you can click into the customer profile for one of the customers you sent it to:

In the customer's profile, you can go to the "Messaging" section and see any emails that you sent to that customer specifically:
