How to send an email out to your upcoming appointments in bulk

This how-to article is being written in light of the Coronavirus concern growing in early 2020. The steps below outline how to send an email out to all of your upcoming appointments by date. We have added in a template accessible to all accounts called “Coronavirus Reschedule Template”. While this guide goes over sending this email in particular, the same steps can be taken to send any template out in bulk.

To send out this email to your upcoming appointments, login and go to Appointments > Appointment Lists > Open and sort your date range to the date range you want to send the email out for:

From here, you can select the top box on the left side of the table to select all, then click Send Email. Be sure to select the filters on the left side to properly indicate which appointments for which this email should send. In this case, we are selecting all locations, all empower associates, and all meetings.

When you click Send Email, you will have the option to select a template from a dropdown menu. From this menu, choose the email template you’d like to send. In this case, we are choosing the template titled, “Invitation Template - Coronavirus Reschedule Template”. Once you’ve chosen the template you want to send, click the green Send Template button.

From here, you’ll be given a last chance to edit anything about the email sending out, or you can just click the green Send Email button.

You should see a notification appear that your email has successfully been sent. If you have a second page of appointments (if they don’t all fit one one page per the limitation you set by the number showing, then you will need to click the Next button on the bottom right to repeat this process with the next set of appointments.

Once you’re finished, these emails will be included in the Appointment Emails tab of the Appointment Detail of each of these appointments, should you need to refer to it in the future.

When sending a lot of urgent emails at once, it can also be helpful to check the delivery status by going to Messaging > Message Logs to scroll through all messages most recently sent from this account to view the statuses of the messages all at once.
