From saving time to ensuring accuracy, automated reporting is a game-changer for anyone looking to elevate their data management and reporting capabilities.

TimeTap’s new Automated Reporting feature gives you the ability to schedule reports to be emailed out daily, weekly, or monthly to stay up to date with your business.

Viewing Scheduled Reports

To find the Scheduled Reports section, navigate to Dashboard > Reports in the top menu of the Backoffice. Once on the Reports page, select the Schedule Reports tab.

Under the Schedule Reports tab you can find the existing scheduled reports that have been set up for the account along with their sending frequencies/time window.

To edit an existing scheduled report (like when adding another email address to receive the report), select the View button in the Actions column.


Adding a New Scheduled Report

To add a new scheduled report, select the green Add New Scheduled Report button.

 

After selecting the Add New Scheduled Report button, complete the fields in the Scheduled Report Details page shown below:

 

Date Range: This dropdown selects the date range that you want to pull data from in the report. Options: Yesterday, Last 7 days, Last 30 days, Last month

Report Category: This field is the type of report you want to run - categories include Open Appointments, Cancelled Appointments, Class Reports, Clients by Services and Classes, Custom Reports, etc.

Report: Based on the report category you choose, a number different report types will be available to select. For example, if you choose the Class Report report category, you will see Attendees list by Class Type and Date or All Class Summary, All Class Attendees as report options.

Frequency: This sets how often you would like the report to be pulled and sent. Options: Daily, Weekly, and Monthly (runs on 1st of month)

Time Window: This dropdown allows you to choose which general time of day you would like this report to be sent out. Options: 12am - 7:59am, 8am - 11:59am, 12pm - 7:59pm, and 8pm - 11:59pm

Status: This sets whether the report is running or not. Reports with an Active status will send on the intended frequency. Moving the report to a Suspended status will turn off the scheduled email from sending.

Notification Recipients: You can enter comma-separated email addresses here to receive this report after it's run

Once you have made all of your selections and added the email address(es) you wish to send the report to, select the green Save button to finalize that new scheduled report.

 


Scheduled Report Email Example

Based on the chosen frequency for the report, the system will trigger the Scheduled Report email which will provide a link for the recipient to access the report.

 

You can further customize the language of this email template by going to Messaging > Appointment Templates > view the To Staff templates > select View by the Scheduled Report category > View the Default Template.
