Determining Booking Flow for Child Account

The individual child accounts on TimeTap can be customized to meet the individual booking criteria of the client that the account was created for.

For instance, in setting up the account for Shire and KennaMetal, it was discussed and determined that the appointment should be set for whichever recruiter sent out the email to invite the candidate to come book. To accommodate for this, in the button that we have for the invitation email that goes out to candidates we are adding the id of the recruiter that was selected from the send email workflow. This way when the candidate goes to book the appointment will get set on the calendar for the recruiter that invited him/her.

Air Canada, as a point of comparison, was said to be recruiter agnostic, meaning it doesn't necessarily matter which recruiter the candidate books the phone screening with. To accommodate for this, we've made the invitation to book the appointment email that goes out have a button that does not pass the id of the recruiter that was selected. This will make it so the candidate will see all recruiters availability and will be put on the calendar for whoever is available for the time they select.

For each new account, this same process needs to be determined. A good question to ask yourself is what selections would you like the candidate to make in booking their appointment?

Let's say you have the options on the child account for them to book a "Phone Screening" or a "Face to Face Interview". You send the candidate an email asking them to come book an appointment.

Do you want them to have the option to:

  • (A) Only book the reason that you selected in sending out the email

    - or -

    (B) Choose from either Phone Screening or Face to Face Interview
  • (A) Only see the availability for the recruiter that was selected in sending out the email

    - or -

    (B) See the availability for all recruiters

TimeTap has some really flexible ways of setting this up on a per account basis. It's just about determining what makes sense for the flow for the particular client that you're building the scheduler out for.

What is decided here determines how we should configure the invitation email that sends out to candidates and the button in that invitation email that prompts the candidate to come book with the business. How to structure the link for this involves passing parameters based on what you want you want to show up on the booking page. If you are comfortable with formatting links with parameters, then you can add this yourself in the Message > Marketing Templates section by customizing the link behind the button.
