Adding a new Meeting Purpose

While your account has 8 meeting purposes added to it by default, there is the option to add new meeting purposes to the account. You may want to do this for a variety of reasons; for instance, perhaps at some locations the "Comprehensive Retirement Analysis - Active Employee" meeting takes 30 minutes but in other locations it takes 45 minutes. If that's the case, then you can clone the default "Comprehensive Retirement Analysis - Active Employee" meeting purpose and change the time on the new meeting purpose.

Important: Meeting Purposes are synced back to Salesforce based on what the participant selects, so it is important that the name of the meeting purpose in TimeTap is an exact match to one of the dropdown values shown in the meeting purpose field on the Salesforce event.

This documentation goes through best practices of how to create the new meeting purpose within TimeTap.

To start, go to Settings > Meetings and click the "Clone" button next to one of the meeting purposes you wish to replicate:


This will create an exact replica of the meeting purpose with "Copy of" in front of its name. We'll need to make a few updates to this meeting purpose so click the "View" button next to it in the list:


After clicking the "View" button you'll be directed to the Meeting's Profile view. Click the "Edit" button next to the Overview section:


In "Edit" mode, you'll want to do the following:

  1. Remove the "Copy of " text from the "Individual Meeting Name" field so that it is an exact match to the values back in Salesforce (see the Important Note at the top of this documentation page)
  2. You can then add to the "Internal Display Name" field a more descriptive name so that you can tell the difference between this meeting purpose and the original meeting purpose when you are navigating TimeTap's back office. In this case, I might suggest adding "Comprehensive Retirement Analysis – Active Employee 45 Minutes". Whatever value you set in the "Internal Display Name" field will be how it shows up for you in TimeTap's back office so you can be sure you are selecting the right meeting purpose when you are setting up your custom booking site
  3. The Salesforce Sync Value field maps back to the "Event Type" field in Salesforce. This value must also be an exact match to one of those dropdown values.
  4. Lastly, you may want to edit which of the Empower Associates on the account can actually offer this meeting purpose. If an empower associate is not selected in this list on the meeting purpose profile, then even if that empower associate creates a custom booking site for a location he/she has availability at and selects to


Once you are done making those changes, click the "Save" button. Next, we'll go and make changes to the "Time" section of the Profile view:


Click "Edit" next to the "Time" section of the Meeting Profile:


Adjust the time to be what you'd like for it to be and then click "Save":

Now that you've got your new meeting purpose all customized, you can go ahead and add the meeting purpose to a plan type and then create a custom booking site with the new meeting purpose.
