Reviewing Hiring Managers Availability

If you've received a request for interview (RFI) for an account, the first thing to do is check to see whether the hiring manager from the RFI is on the account in TimeTap. If they've already been added in, they may already have availability set up in which case, you wouldn't necessarily need to send them an email to add in availability.

Alternatively, maybe you checked for the hiring manager and they weren't added to the account yet so you went through and added them in. After adding them, you sent them the email to enter their availability and now that they've completed that you want to check and make sure that the availability they added is adequate for the number of candidates they need to interview.

From the RFI, you'll be able to tell how many candidates they need to interview as well as how long the interviews for this hiring manager should last. If they RFI says they'll be interview 10 candidates and their interviews are 1 hour long, then the hiring manager will need at least 10 hours of availability added in.

Let's say this is the case for hiring manager "Michael Doe" of account "Best Company Ever". Now that we know that Michael Doe has entered his availability, we'll need to login to Best Company Ever's account and check out if his availability provides enough space for 10 interviews.

To start, we'll login to the corresponding account:

We'll then go to Settings > Staff and search for the hiring manager. Once we've found Michael Doe, we'll click the "View" button to the right of his name:

That will take us to Michael's staff profile. On his staff profile, we'll click on the "Interview Availability" option from the left hand menu:

On the interview availability view, you'll see all the dates and times that Michael has set up. Looking at the screenshot below, we'll see Michael has said he is available from:

  • 9am - 1pm on November 6th (total of 4 hours)
  • 10am - 1pm & 2pm - 5pm on November 7th (total of 6 hours)
  • 2pm - 5pm on November 8th (total of 3 hours)

Since he has added a total of 13 hours of availability and he only needed to add a total of 10 hours of availability, we can safely say he has added adequate enough availability. Now that he has added that in and we've checked it, we can move on to emailing the candidates from the RFI to come book an interview with him.
